Sync ToDo’s and Tasks on iPhone for FREE using Google Sync

I am sure you all got Google Sync working with your calendar and contacts on iPhone or Windows Mobile devices. Now your life is in sync with Google – ;)
One thing which is still not here is the TODO activities.
Not sure about you, but I keep adding all the activities I need to do using a tool from ToodledoUltimate Todos. The application is FREE for a limited time. Generally it costs $4.99 and is available through iTunes Stores.
Features of this application are really rich including:
  • Synchronization with online Toodledo.
  • Assign task based on priority, context, tags, timeline and importance.
  • Voice notes
  • Reference contacts from you iphone contacts
  • One touch task completion and
  • Home screen badge showing the number of tasks due today etc..
Check out Toodledo to see what all you can do using it whether online or from your iphone. BTW, the service is FREE but you can upgrade to PRO as well if required to get even more option. Frankly speaking, Toodledo offers many more features than Remember The Milk and offers much more functionality for a FREE account.
Once you start using Toodledo and have the iphone application ‘Ultimate Todos‘ installed on your device, it is really very easy to be on top of your tasks and put them on your calendar for easy reminders.
Please check out the connections setting in your Toodledo account to make it easy to update your task list using Twitter, email, Google gadget and many other APIs, even sync with Microsoft Outlook.
But our main motto right now is to sync Toodledo Task list with your iphone calendar.
OK, so follow these steps once you have set up Google Sync and have a Toodledo account for your todo activities:
STEP 1 : Adding Toodledo to Google Calendar
  1. Login to Toodledo account.
  2. Click on ‘Connections‘ link in the left sidebar.
  3. Scroll down to see a block for ‘iCal Subscriptions‘ as shown below.
  4. Check box for enabling ‘Live iCal Link‘ and save changes.
  5. Once the changes are saved, you will see couple of links for .ics subscription which you can add to any calendar like Google & Apple Calendar etc.

  6. Copy the link for Google Calendar.
  7. Now go to your Google calendar through Gmail.
  8. In the sidebar, click on ‘Add -> Add by URL‘ link.
  9. Paste the link you copied above from Toodledo and click on ‘Add‘.
  10. Your Toodledo to do activities are now on your Google calendar.
(Please note : The activies are synced once a day, so you might not see the changes quickly in your Google Calendar if you recently synced.)
STEP 2: Syncing TODO Calendar with iPhone
  1. Please follow this article to add your Toodledo (todo) calendar to your iphone using Google Sync. You can sync upto 5 calendars in your Google account to sync with iphone calendar. So just select this new calendar among one of those 5 calendars you are syncing with iphone.
  2. Now enjoy updating your todo list with your iphone.
  3. Use ‘Ultimate Todos’ to add and update task details.
  4. Ultimate Todos from iphone synchronises these tasks to your online Toodledo account.
  5. This in turn gets synced with Google Calendar.
  6. And Google Calendar syncs with your iphone calendar. See the below image to see the process flow.
Hope you enjoyed this article and the possibility of syncing your daily activites which you can access and edit from anywhere you want. Thanks to the Google Mobile and Toodledo team.

Have your say?
Do you think this helped you managing your activites? Did this tutorial helped you love Google sync, iPhone and Toodledo even more? How were you managing your activities before this? I would like to hear your views in comments.

Update# 1 (02/14/09, 5:12 pm): Looks like the iPhone app is no longer available for FREE. Now it is available for $0.99 for limited time. Generally it is available for $4.99.

Actually this app was FREE for a limited time at the time of writing this article.

Yes it was free till few days back. Recently they made it paid with a new logo (at least). Not sure if they added any new features in the paid version.

syncing takes too long to be useful. google syncs once per day sometime in more than a day. they should have refresh settings or refresh subscribed calendars more frequently. The way I do it is to use ical to subscribe to toodledo and sync to google using busy sync. It as amazingly useful. Cost 25 buck but very easy to use and simple.

Just tried it and when I add the URL to Google Calendar, I get an error message saying that the URL did not contain a calendar in a valid iCal or GCal format.
  • Anurag Bansal
Yes, sometimes while adding the URL to Google Calendar it gives error. Try logging out and then adding the iCal again.
It worked for me, should work for you too.

May be some Cache setting or something.

    Hope it helps.

Why not use the Toodledo app available from the app store. Seems more intuitive than using a third party app like Ultimate Todos.

    My friend,

Toodledo iphone app is called as Ultimate Todos, for your kind information.

Wish I have an iPhone.. there lots of cool apps that come with it (as in , in the shop)

Speaking of Google Sync, thankfully I backed up my contacts as it suggested. My contacts were gone after syncing it for the first time

    @Michael:
First you wished for an iPhone and then said you backed up your contacts. Didn't make sense to me?

    Can you explain?

    Thanks

i always having problem when i sync with windows mobile .. is there any setting for duplicate entry ? i hate to update my address book manually because of this
  • Anurag Bansal
In Gmail you can merge contacts which are shown as duplicates. Other than that I am not sure if there is any other thing you can do to rectify this problem.

There is both a Toodledo app and an Ultimate Todo's app.

How can they both be the same application? They are priced different.

Just do a search and type Toodledo and you will see it.

I use nuevasync (http://www.nuevasync.com) to sync my google calendar and iCal to my iPhone. Works great without any problems and its free
  • Anurag Bansal
    Yes, you are right.
Apparently there are two apps in iTunes store -

    1) Toodledo (Cost $3.99) and

    2) Ultimate Todos (Cost Free - $0.99 - $4.99, Varies)

Toodledo is official Toodledo app whereas Ultimate Todos is from MMDESoft.

Ultimate Todo seems to be the one I tried and used in this article. This app doesn't give you the option of selecting Due Time for the task.

Official Toodledo app seems to give you the option of selecting Due Time and other details.

Personally I would suggest using the official Toodledo app which is near perfect except some visual shortcomings.

    Hope it clarifies the confusion.

I've used the Palm Pilot for 15 years and now find myself having to find something new. It seems that the rest of the world does not value the all-in-one desktop application that Palm had. Palm is no longer supporting it, so I am looking for other options. It amazes me that non-Palm users are content with these long work-arounds to try and get what seems to me a very basic function of a PDA. Why is this so hard? At this point, now that I have learned that Ultimate Todos is a third-party (or should I say fourth-party) app and that it is no longer free, I don't think I'll go with this workaround. I want something simple, reliable and quick that will sync my todo list with my iPod Touch.
